Available
in both single and multi user options, TBMS satisfies whatever requirement
you may have for the size of your business.
TBMS tracks
all your Contacts, Delegates/Students, Schedules, Courses, Bookings,
Calls, Quotes, Sales and Purchases.
It takes
about two minutes from the moment a client confirms a booking on
an open course to book the place (and adjust the places free status
on that course) and produce the Joining Instructions, Pre Course
Questionnaire and Invoice.
All Prospects,
Customers, Accounts and Suppliers are stored and displayed in the
master Contacts List and you can switch from one group to another
in a second. Each contact is assigned to the user who entered it
into the system so individual telesales members can easily work
with their own contacts while accessing the master, communal TBMS
database.
Each contact
can be Profiled with as many attributes as you wish to track. The
powerful Profile Query Engine lets you find all contacts that meet
the profile you are seeking. Another click and you can mailshot
these contacts in seconds using the link to MS Word.
The Training
History of every attendee is immediately displayed as soon as he/she
is highlighted in the master contacts list.
The powerful
Course Query Engine lets you find those students that have attended
one course but not another for any period you select. You can then
mailshot these customers in seconds using the link to MS Word. Great
for launching new items in your portfolio.
TBMS creates
the invoice and stores each in the Sales Ledger automatically. Complete
payment history and outstanding balances are displayed automatically
as soon as you highlight a contact in the master contacts list.
All Sales
are logged against a Sales Person so that both performance and commission
statistics are immediately to hand.
The powerful
Call Logging Manager stores all communications between the company
and your contacts together with date and time reminders of actions
to take in the future. When an action is due, TBMS will popup a
reminder message so that you don't lose track of the promises you
make to clients.
Tax or
Vat is automatically calculated on each line item of a Sale. Summary
Tax reports (eg: for Vat Returns) are a simple click away.
Managers
can easily track the activity generated within TBMS with instant
summaries of how many Bookings, Contacts, Calls, Quotes, Sales and
Purchases have been etered into the system, by whom and for any
period. This helps to identify those areas of activity that need
attention before it is too late!
Annual
Calendar: displays all twelve months of each year selected. Each
day is colour coded when an event is scheduled for that day. Click
on any day of the year and TBMS will display the Course or Event
that is taking place on that day.
Delegate
Needs Manager. This enables you to track the needs (Hotel, Breakfast,
Coffee, Lunch, Tea, Dinner, et.) of a delegate for each day he/she
is attending one of your courses.
Tutor
Diary: displays all the Instructors plus each course he/she is scheduled
to deliver, details of the event plus who is booked on that course.
Select a Tutor in the list and his/her events for the year are displayed.
Select an event and the relevant month in which that event occurs
is displayed in the Calendar. Also the course details are displayed
together with a list of delegates who are booked on that course.
Schedule
Diary: displays a three month calendar for any period you select.
Each day is colour coded with the event taking place on that day.
Select any day within the calendar and the courses and events taking
place on that day are listed. Select any course or event and the
delegates booked on that course are listed.
Venue
Diary: displays a list of all venues setup within TBMS together
with an annual (12 month) view of all events taking place for the
venue selected. As you click on any date within the calendar, a
list of events taking place on that day is displayed together with
the number of places booked, places free, booking values, sales
values, start date and end date for each event in the list.
Personal
diary: displays both Morning and Afternoon sections subdivided into
half hour time slots. Quickly updated using personlized Legend List
containing up to 24 configurable events.
Asset
Tracking: TBMS includes the following tools to track training assets:
Asset Register: master list of training assets (digital projectors,
video recorders, TV monitors, projection screens, laser pointers,
slide projectors, laptop computers, etc.) each with their own ID
/ serial number and current location.
Course
Register: enables you to setup the equipment needed to deliver each
type of course. Venue Register: enables you to track, add or remove
individual items for each of the venues setup within TBMS. Instantly
displays where all your equipment is currently located. Asset Flag:
this is displayed in all courses and schedules throughout TBMS and
indicates whether the nominated venue for the listed course has
the minimum asset requirement for the course that is scheduled to
be delivered at that venue.
Waiting
List: Tracks those delegates who would like to attend a course that
is currently fully booked. All course lists throughout TBMS display
Maximum, Booked, Free and Waiting places so you can see at a glance
(when a booking is cancelled) the number of delegates you have on
the Waiting List who would like to attend.
Attendance
Summary (Bookings Module): instantly displays a summary of the numbers
of delegates who have attended (any/all) the courses during the
month selected. Another click and this is graphed in a 3D Bar Chart
for you.
Booking
Performance Monitor: TBMS automatically tracks the rate at which
your clients cancel bookings, change courses for booked delegates,
replace one delegate with another. Instantly displays each client's
performance ratio whenever you select delegates during a booking.
Enables you to give preferential treatment to those clients who
have the best booking performance ratios. |
